How to cut no-shows in half without annoying your clients

No-shows quietly cost small businesses thousands each year. Here is the reminder cadence and policy that works for the studios on FlowDesk.

Every empty chair or treatment room is revenue you can never get back. Across the studios and clinics on FlowDesk, the average no-show rate before switching was 8.4%. Three months later it was 3.9%. Nothing magic happened. They changed three things.

1. Confirm instantly, remind twice

A booking that is confirmed within seconds feels real. One that sits in an inbox for a day feels optional. FlowDesk sends a confirmation immediately, then two reminders:

  • 24 hours before, with a one-tap link to reschedule
  • 2 hours before, short and friendly, with the address

The reschedule link matters more than you would expect. Clients who can easily move an appointment rarely ghost it.

2. Make the policy visible, not scary

A clear, calm cancellation policy on your booking page sets expectations. Keep it short:

Life happens. Please give us 24 hours notice if you need to reschedule so we can offer the slot to someone else.

Avoid all-caps warnings and threats of fees on the first visit. Firm but kind wins.

3. Watch the pattern, not the person

Most no-shows come from a small group of clients. FlowDesk tracks no-shows per client, so you can spot repeat offenders and require a deposit only for them — instead of punishing everyone.

The result

Fewer gaps in the calendar, less awkward chasing, and a front desk that spends its time on clients who show up. Want to see the numbers for your own business? Try the live demo and open the overview.

Your next client is trying to book right now

Give them a booking experience they will remember — and give yourself your evenings back.
